Facilities Management Scholarship Spring 2013

Applications for the Facilities Management Scholarship for the Spring 2013 Semester are due Friday, December 7, 2012.

Facilities Management would like to encourage education within our department. To support this, there will be one $350 award given each fall and spring; and one $300 award given summer semester. This scholarship may be used toward tuition at the University of Utah.  This scholarship is available to those employed in a full-time position (75% FTE or greater)with Facilities Management or a spouse or dependent of eligible employee.  (Employee must have worked for the University in a full-time benefit-eligible position for 6 consecutive months and be admitted to the University of Utah.)

2012 Service Project continues...

Our service torch continues blazing a trail through
Facility & Construction Operations.   
We have reached the half-way mark of this years service project and we hope to keep going strong.  We appreciate everyone who has given up their lunch to come quilting. 
The service project wraps up Friday, December 7th.
Who knew playing with fire could be so fun and rewarding?  Keep up the great work! Your service will certainly warm the hearts of our veterans in need!

2012 Facility & Construction Operations Service Project

It's that time of year again, our annual service project.  This year we are partnering with the Univeristy Veterans Services Department and our quilting and donations will be going to the Veterans Hospital and the Veterans Nursing Home

Quilting is scheduled during the lunch hour.  Donation jars and bins are available with your division secretaries and various shop locations.  We would like to see all of the divisions within Facility & Construction Operations particiate in this project.  See your division secretary if your area hasn't signed up for a quilting day yet.

This year in keeping with our Olympic theme we will be passing the service torch from shop to shop as they participate.




The service torch is blazing a trail through our shops! Where will it end up next?

We appreciate all of the support and participation we have received on this project, without it this would not be possible.

Winter Weather Safety



In light of the winter weather today we'd like to remind you to be aware of snowy walking and driving conditions on campus.

When walking around campus during the winter:
  • Wear the right footwear, rubber and neoprene composite sole shoes.
  • Walk slowly, shuffle your feet while walking, and take small steps to keep your center of balance under you. Bend slightly at the knees.
  • Wipe your feet before entering a building and use handrails whenever possible.
  • Test potential slick areas by tapping your foot on them.

When driving on campus during the winter:
  • Make sure your tires are in good condition.
  • Don't forget to put a shovel and a 50-pound bag of salt in the trunk of your vehicle; you never know when you may need it (even if it's to help a fellow-driver).
  • Landscape Maintenance and Transportation cannot assist in removing cars that get stuck in the snow. You will need to call a tow truck.
  • If driving conditions are bad, take public transportation to campus.

2012 AssetWorld Achievement Award

Cynthia Garcia, Rich Miller, and Steve Hoskins had the privilege of accepting the 2012 AssetWorld Achievement Award.  This award was one of only two Achievement Awards given at AssetWorld 2012 Annual Facilities Users Conference. The University of Utah received this award for our integration of AiM with Kronos. 

Currently we are the only university that has integrated AiM with their time reporting system and eliminated the need for double time entry.  Data Systems worked with ACS and AssetWorks to develop a web application that imports the data from the AiM database into Kronos.  This integration allows for daily imports and confirmation of supervisor approval.  By developing the Kronos integration they  were able to save one FTE in payroll entry.  They also reduced the number of dependent applications that we ran in payroll and eliminated the IT costs associated with application support.  They  also estimate that they've saved 15 trees in reduced paper costs J The work metrics are much better as we are able to match our time exactly with the work done.  Our employees know exactly what they'll be paid for and the systems always balance. 

We are very proud of Data Systems for all the hard work it has taken to reach this achievement.

Welcome to Facility Operations

Bob Stilson is pleased to announce that Alan Burdick has accepted the position of Construction Manager for the Work Planning group.  Alan has many years of hands on construction experience as well as managing ground up commercial projects.  Alan is excited to be here and will be a great resource and asset to our department.  Please welcome Alan and give him your support as he becomes part of Facility Operations. 


Dale Hoskins would like to welcome Brett Nuccitelli to the Metal Shop.  He is our new Sheet Metal Worker and we are happy to have him join us.

Budget & Programs welcomes Tamara Sindelman the new Office Assistant.  She will be supporting Landscape Maintenance and Transportation.  She is brand new to Utah after having grown up in the northwest (Oregon and Washington) where she worked in health sciences at the University of Washington.  Most recently, she was a high school English teacher and is planning to return to school (hopefully at the U) so she can eventtually teach at the college level.  So far, she loves the mountains and blue sky but misses the ocean.


Landscape Maintenance would like to welcome Christy Cruz, she is a Landscape Gardener.

Employee Appreciation Day

The University had its annual Employee Appreciation Day providing a great opportunity for all of us to take a break from our hard work and have a little fun. 


Facility Ops had a lot of employees volunteer to help out with the great event. 
(It probably helps that our own Lora Mortensen was the Volunteeer Coordinator)

Construction Manager

Bob Stilson with Work Planning is pleased to announce that Nate Miles has accepted one of the Construction Manager positions.  Nate brings with him an extensive background in event coordination, facility coordination, and knowledge of construction practices which will greatly aid him in coordinating the construction and remodel projects on campus.  Please give Nate your full support as he moves into this new position. 

Shirt Orders

It's that time of year . . .shirt orders!

We have started the ordering process for shirts. Posters and order forms have been handed out to your division secretaries. The order forms are due back to them by Friday, September 21st.


A few reminders:

• Blue forms are for full-time employees –1 item only (with the exception of 3 short sleeve t-shirts, or 1 long sleeve and 1 short sleeve t-shirt)

• Yellow forms are for part-time employees – 1 item only

• White forms are for any additional orders

• The TLS608 – Men’s Easy Care Dress Shirt does not come in steel gray

• If an employee chooses not to order a shirt, we still need the employee’s form back stating that a shirt will not be ordered

• Cash or check only (make checks payable to “University of Utah”)

August marked the one year anniversary of Caught in the Act!  Caught in the Act is an inner/intra departmental employee recognition program that acknowledges employees extra ordinary contributions to the department’s overall objectives and core values.
 
How it Works
When a manager, supervisor, or lead worker observes an action or behavior of a Facilities employee that is above and beyond the individuals assigned scope of duties, he or she can complete a Caught in the Act card as a way to show appreciation and recognition to the employee. The completed card is given to an employee then redeemed at the Arbor Café in Bldg. 350 for one free food item and a drink.

University Sedan Parking Rule Change

Effective August 20, 2012 maintenance parking spaces (designated by green posts) are reserved for Facility Operations service trucks. Sedans may not use these spaces except in the following areas:
  • The University Hospital loading dock.
  • Spaces adjacent to Motor Pool, University Police and the Turpin University Services Building.
  • Loading docks with the approval of the dock manager.
Other exceptions may be adopted for sedans engaged in organ transplants, nuclear waste, or other similar circumstances.
  
Sedans may park in “U” and “E” lots as needed and temporarily in “A” lots (in order to load and unload supplies.) Departmental sedans should not displace faculty parking places in “A” lots.
University vehicles with exempt license plates may park in pay lots and parking meters under the following restrictions: Pay lot parking is limited to 1 hour; and parking at meters is limited to the type of the specific meter: (36 minute, 1 hour or 2 hour meter.) University vehicles may not park in red loading zone meters.

Organizational Changes

August has been a busy month for Facility Operations.  We have had some big changes within our organization the last few months.  We look forward to the exciting new challenges and opportunities these changes will bring.

Waste Management
Effective September 1, 2012, Waste Management will be moved from Budget & Programs to Custodial Services under Facility Operations.  There will be no change in personnel or the functions they perform.  The phone number will also remain the same, 1-5173.

Event Support Services

Effective August 16, 2012 Event Support Services is longer a part of Facility Operations. The services they provided including Tables and Chairs will now be provided by Stadium and Arena Event Services located at Rice Eccles Stadium.
Please contact Nate Miles 1-8518 or the Stadium Front Desk 1-5445 for any questions. 

Danielle Johnson will now be providing administrative report for Orfeo with Budget & Programs, as well as assisting Lora with Facility & Construction Operations.

And just a reminder of some of the less recent changes:
Creation of Facility and Construction Operations
Cory Higgins became the Executive Director of Facility & Construction Operations, which encompasses Construction Project Delivery and  Facility Operations. He is supported by Joe Harman and Tom Christensen as Associate Directors of Construction Project Delivery.

Craig Bohn became the new Director of Facility Operations. 

Central Services
Steve Hoskins became the new Associate Director of Central Services in Facility Operations

July Janus Award

The Janus Award
Beginning July 2012 Custodial Services will present a monthly award for outstanding work within their assigned area.  Each month the custodial office will recognize a crew that demonstrates their excellence in cleaning based on inspection scores.


July Janus Award Winners
The July 2012 Janus Award was presented to the Museum of Natural History/NPS crew led by Crew Leader, Lisa McCarrel. 
The team topped other Custodial Services crews by scoring a 97% on their SMART inspection for the month.
